The Position:

The Travel Administrator is responsible for arranging travel for all internal staff and external clients including our group travel, gap year, and open enrollment students.   

What you do:

  • Book travel for all regular and seasonal employees, and clientele, and book travel for our students participating in Group Travel, Gap Year, and Open Enrollment programs. Manage changes as they occur.
  • Foster an ongoing and informative dialogue with company departments and staff during the booking of travel.
  • Negotiate annual travel contracts and manage relationship with travel partners.
  • Meticulously input travel information into Salesforce CRM for accurate reports.
  • Compile commission reports to ensure profitability.
  • Actively research and stay up to date on DOT, IATA, ASTA, and TSA guidelines, regulations, and airline ticketing processes.
  • Reduce overall cost by ensuring that all contract, deposit, utilization and ticketing deadlines are adhered to.
  • Create and deploy  student lists and documents to country directors, program coordinators,  flight leaders and airport coordinators as needed
  • Rotate an emergency phone with other team members during heavy travel season.
  • Other duties as assigned and required.

What we look for:

  • 1-3 years of customer service experience with internal and external business clients.
  • 1-3 years of experience of data entry work in a professional environment.
  • Certified Travel Agent (CTA) preferred.
  • Experience with a global distribution system (GDS) especially Amadeus
  • Excellent time-management and task prioritization skills.
  • Excellent written and oral communication and interpersonal skills.
  • Persuasive attitude and negotiating skills.
  • Attentive to detail, results oriented and able to adhere to deadlines.
  • Effective problem-solver capable of managing travel-related emergencies.
  • Experience working in a high pressure, high demand, and fast-paced environment.
  • Proficient in Microsoft Office suite, Google Apps, and Salesforce CRM.
  • Understanding of general travel trends, airline functions and flight information.
  • High School diploma required.

Work and Environmental conditions: 

This position is primarily based in an office setting. The work pace for this position is at a continual fast pace where work is required for more than 4 hours at a time. Low supervision from managers and social interaction required frequently. This person travels up to 15% of the time for meeting with airline partners, and attending conferences and RP operations meetings.

This position requires such physical abilities as sitting for computer and phone work for long periods of time, lifting up to 20lbs sometimes and carrying office supplies, standing, and walking

Majority of work is done in a controlled office environment. The environment in which the job is performed outside a normal office space may include exposure to extreme temperature, noise, heights, or other hazards. All remains the same for any additional requirements for training.
